The number of licences acquired by the university is not sufficient to fulfil every request for admission to the SAP system. For this reason, an agreement has been reached with the faculty directors that access is only possible if the need has been confirmed by them.

An informal proposal signed by the faculty management or the head of the central organisation/staff unit, a confirmation by email must contain the following information:

The name and personnel number,
the telephone number, the office address, the e-mail address and
the finance centre groups for which access is requested.

Authorisation for the Controlling module is only granted to persons who are to have access to the cost centre groups of Schools / Institutes / central facilities / staff units. No CO authorisations are granted for individual cost centres.

If you wish to access Human Resources programmes, you must justify this. It will then only be granted if the HR department agrees. One reason for access is the direct support of the faculty management or the assigned task of managing personnel resources in a large third-party project with many employees. IT services obtain authorisation directly from the HR department.

Before submitting the proposal, please check whether online access to your financial centres is actually worthwhile for you, or whether the option of generating the bank statement for your financial centres in EDE is sufficient. A colleague may also be able to gain access to your funds centre and provide you with the required information if necessary.

Direct access requires considerable effort on our part, but the software must also be set up on your computer, you must learn how to use the software and you must change your login password once a year.

These statements are not intended to deny you access, but rather to ask you to check whether there is an easier way to achieve your goal. We have noticed that many users stop using their login after a short test phase and look for information about their financial centres elsewhere and then the effort has not been worthwhile, not only for us but also for you.
