Use of the video conferencing system

Notes on using the video conferencing system

We are delighted that you are taking part in the online event! To help you prepare for the event in the best possible way, we have compiled important information on technical handling for you. You will also find user instructions here to ensure that the event runs smoothly and that we work well together as colleagues.

Conference software & data protection

To organise the online event, we use the servers of the C. v. O. University of Oldenburg and the open source web conferencing system BigBlueButton. The data transfer to the web conferencing system as well as the transfer of video and audio data between the end devices is encrypted (transport encryption).

Preparation & technology

  • Participation in the online event is possible with a desktop computer, laptop or tablet.
  • Whenever possible, do not use WLAN, but connect your laptop to the router/switch via LAN cable. This results in less interference and packet loss. In addition, the audio/video quality is more stable and better. If this is not possible, place your computer as close as possible to the WLAN access point.

Instructions for users

  • Start your browser and open the web address of the conference room (the link was sent to you by email).
  • Please log in with your first name and surname and then click on Start. If necessary, agree to the storage of cookies.
  • You will now be asked how you would like to participate in the conference. Click on "With microphone" to switch on the microphone. Allow your browser to access a microphone and tick "Remember decision" if possible. An echo test is then performed to test the function of the microphone and loudspeaker.
  • If the echo test is successful, you will be taken to the conference room. After entering the room, please mute your microphone by clicking on the microphone symbol.
  • As a rule, please leave your microphone off (to avoid disturbing background noise) and do not activate the camera. The resources required to decode the videos are comparatively high, so older computers in particular may have problems with the video conference.
  • You are welcome to register questions or contributions to the discussion via the public chat; you can enter text in the field displayed at the bottom left.
