Data protection information

Survey of participants at ofz events

I. Contact details of the data controller and the data protection officer

The data controller is the University of Oldenburg, a body governed by public law, legally represented by the President, Ammerländer Heerstraße 114–118, 26129 Oldenburg.

You can contact the Data Protection Officer of the University of Oldenburg at the above address (for the attention of: ‘The Data Protection Officer’), by telephone on +49 (0)441 798 4196, and by email at .

II. Data collected

Through their participation in the surveys, participants in the ofz training courses provide an assessment of the event they have attended (content, teaching methods, workshop facilitation, self-assessment and skills, satisfaction, learning outcomes, suggestions for improvement). The results are used for quality assurance and the further development of our programmes.

As part of the surveys, personally identifiable data may be collected where relevant. This includes, in particular, data on gender, age, employment status and technical access options.

The surveys do not collect any data that would allow direct identification of individual persons. However, it cannot be ruled out that, in individual cases, certain persons may be indirectly identifiable based on a combination of the specific details requested (personally identifiable data).

In this context, we would also ask you to avoid providing personally identifiable information when filling in the free-text fields, where possible, so that a direct link to an individual cannot be established via this ‘route’.

Log files

As part of the online surveys, technically generated data and access logs are recorded on the university’s own web server, such as IP address, date and time of access, command executed, web server status code, data transfer size, origin of the referring page (where applicable), web browser used (user agent), and encryption algorithm used.

The log file data is used to ensure the proper functioning of the online surveys (e.g. error analysis, protection against misuse, etc.) and is deleted after a maximum of 7 days. The log file data is not linked to your personally identifiable data or your responses.

Where paper-based questionnaires are used, these are subsequently scanned, digitally analysed and then destroyed immediately in accordance with data protection regulations.

III. Purposes and legal bases for data processing

Your consent and the associated processing of the personal data described serve the purposes of quality assurance and the development of university teaching and the didactic further education of staff, and thus fulfil a task in the public interest in accordance with Article 6(1)(e), paragraph 3 of the GDPR in conjunction with Section 3 of the NDSG and Section 3 of the NHG. With regard to the processing of the survey data provided by participants, the legal basis is consent within the meaning of Article 6(1)(a) of the GDPR. This consent may be withdrawn until the survey is completed by permanently cancelling the survey by clicking the relevant button to delete the data. Data already entered will not be stored if the survey is terminated definitively. Once the data has been definitively transmitted, it is generally (see II) no longer possible to establish a link to an individual, meaning that, in principle, it is also no longer possible to withdraw your consent.

You are not obliged to provide your personal data. You will not suffer any disadvantages as a result of not providing it.

IV. Recipients of personal data

Anonymous results derived from the analysis of the survey data will be published. The results are summarised in such a way that it is impossible to trace them back to you personally.

The respective speakers at the events also receive the results, in aggregated form, for the purposes of quality assurance and the further development of the programmes.

V. Duration of retention or storage of personal data

All raw survey data will be deleted once the data analysis has been completed.

VI. Rights as a data subject

As a data subject within the meaning of the GDPR, you have the following rights:

• Right of access (Art. 15 GDPR)

• Right to rectification (Art. 16 GDPR)

• Right to erasure (Art. 17 GDPR)

• Right to restriction of processing (Art. 18 GDPR)

• Right to data portability (Art. 20 GDPR)

• Right to object (Art. 21 GDPR)

To exercise these rights, please contact the relevant body: (see above).

VII. Right to withdraw consent

You may withdraw your consent at any time with effect for the future. This does not affect the lawfulness of any data processing carried out on the basis of your consent prior to its withdrawal.

VIII. Right to lodge a complaint with a supervisory authority

If you believe that the processing of your personal data infringes data protection regulations, please contact the data protection officer of the data controller (see above). Irrespective of this, you have the right to lodge a complaint with a supervisory authority. The supervisory authority responsible for Carl von Ossietzky University is: The State Data Protection Commissioner for Lower Saxony, Prinzenstraße, 30159 Hanover
