General Conditions of Use for University Sports programme
Who can participate?
Hochschulsport (University Sports) is first of all a service for the students and staff of Carl von Ossietzky University in Oldenburg. University members are all students and employees of the Carl von Ossietzky University in Oldenburg and of the cooperating universities. At this time these are the Jade University (locations in Oldenburg and Elsfleth), the Rijksuniversiteit Groningen and the University of Bremen.
However, in addition to the students of cooperating universities, non-university members can also take part in our programme, provided they are of legal age and purchase a User Card or book a course requiring registration.
Our emphasis is on recreational sports with the focus on enjoying sports activities, a relaxed atmosphere and many new courses. The sports programme is intended to motivate everyone to become physically active. Especially those who up until now thought they were not sporty.
We divide our programme into open courses and those requiring registration. Open courses can be accessed without registration and are generally free of charge for university members. Guests require a User Card.
An overview of all courses available to university members free of charge and ones that guests can use after purchasing a User Card without incurring further costs is provided in the schedule for the respectively current period. The schedule is available for downloading on our website or in printed form at our office.
You must register for courses requiring registration before they start. These courses are subject to a charge. The dates and prices for the current period are specified on the website and our posted announcements.
IDs - User Cards
Students identify themselves with their Student ID and other academics with a Staff ID. The Staff ID is available at the Hochschulsport office. The Staff ID must be renewed by us at be beginning of each semester. This is possible free of charge.
External users require a User Card (valid for a semester or one day) to use courses not requiring registration. The User Card with a valid semester sticker entitles the holder to participate in all courses not requiring registration for the entire semester.
Semester cards can be purchases at our office. In the process, we record personal data, e.g. the email address, which provide several advantages for you:
• We can notify you by email on short-term changes or recent news.
• Should you lose your User Card, we can issue a new card more quickly based on the available data (for a processing fee of € 2.50).
• You can purchase the User Card via our website and then collect it at the Hochschulsport office.
One-day cards are available from the inspectors in front of the respective sports facilities.
Those wishing to book a course requiring registration or, for example, a tennis court, do not require a user card to do so.
To participate in courses subject to registration, you will receive written confirmation of registration after registering. Remember to always bring this confirmation to the course!
You can register for all courses subject to registration as of the respective registration date on our website (www.uni-oldenburg.de/hochschulsport) or at the Hochschulsport office. Please register via the internet! That increases your chances of securing a place in the desired course and saves you having to queue up in front of our office.
The required fees are paid by bank transfer.
Fees for any returned direct debits charged to the university sports by the user's bank are passed on to the user and collected at the next direct debit collection together with the original fee.
Registration by phone or email cannot be accepted.
Registrations after the course has started must still pay the full course fee.
Written confirmation of registration must be brought along for participation in courses subject to registration.
The prices for students are shown first in our course advertisements, for employees in the middle and for non-academics after that, e.g. € 25.00/28.00/31.50
Withdrawal and cancellation policy
Registrations cannot be cancelled; nor is a refund of course fees possible!
A withdrawal from booked services is only possible in well-founded and proven exceptions. If no special cancellation policy is specified in the respective course offers, the following general policy applies:
From the start of the course, the participant is only entitled to a refund if a medical certificate is provided or, for example, a lesson is moved by a lecturer (confirmed in writing) and clashes with a course.
If a course does not reach the specified minimum number of participants, the event will generally be cancelled. The registered participants are then generally provided with a refund after the participant has filled out and signed a Refund Form.
The cancellation of a date does not result in the right to claims for compensation.
Who is insured?
Members of the University of Oldenburg and the cooperating universities are insured in most cases via the legal accident insurance when participating in university sports. If this does not apply (see below), the participant’s own accident or health insurance generally applies.
The German State Accident Insurance (Landesunfallkasse) as service provider for legal accident insurance at universities defines the conditions for insurance as part of the Hochschulsport courses as follows:
“The optional participation of students in general university sports is to be considered insured if the following conditions are met:
– The sports programme at the universities must have the character of official university events.
– General university sports must be carried out by the university itself (e.g. university institute for physical exercise) or a university-related institution (e.g. ASTA).
– The sports must take place within organised exercising, i.e. during the specified times and under the supervision of an appointed trainer.
Free sporting activities outside of organised exercising at the university sports facilities (e.g. free playgroups, free tennis, individual training in fitness studios) is, like participation in competitive sports in university and other sports clubs, not insured. Purely placing students in clubs or with organisers with special sports courses, such as gliding, water skiing, skydiving or scuba-diving, is also not insured.
If the events offered in the sports programme of the sports centres are primarily intended for private recreational activities (e.g. international travel), then the legal accident insurance coverage can be eliminated. There is generally also no legal accident insurance coverage for competitions in competitive and high-performance sports.
Staff of the universities are only insured when participating in university sports if at the same time the special requirements of company sports are met (compensatory character of sports, regularity, company-related nature of the organisation and the group of participants, not competitive sports). Guests (non-members of the university) of the sports centres are generally not insured.”
Non-academics are only insured via their own accident or health insurance.
After an accident, all university members must be sure to submit a so-called “accident report” for their own protection! The forms for this purpose are available from the sports officials on Uhlhornsweg, at our office and in the download area on our website. The sports official will also help you fill out the report. The report should be submitted immediately after the accident, if possible.
The insurance coverage only refers to bodily injuries, and not to property damage (e.g. glasses etc.).
