In September 2021, the CampusCards was introduced for all university employees. It serves as your staff ID card and comes equipped with several functions, among them the use of the multifunction printers, access to buildings and electronic time tracking. General information
Which functions does the CampusCard staff ID combine?
Your staff ID card replaces the green or black chips that have so far been used for electronic time tracking, access to buildings and use of the multifunction printers.
The CampusCard is used for these applications:
- Personal staff ID card
- Electronic time tracking
- Access authorisation for buildings or rooms
- Job-related printing/copying/scanning (multifunction printers on campus)
- Personal printing/ copying/ scanning (multifunction printers in the library)
- Electronic wallet / Payment feature at the Studentenwerk acceptance points as well as in the library (all fees and charges, incl. printing / copying)
- Locking device for lockers and wardrobes
- Library card (optional)
Blue chips are replaced by print cards.
Red chips are replaced by access passes.
What data is stored on the staff ID card?
Visible information (printed onto the card)
- Designation “Dienstausweis” and abbreviation "D”
- First name, last name, academic degrees (Prof. and Dr. only)
- CampusCard ID (8 digits)
- Card serial number (17 digits)
- A barcode and number that may be employed as a library card number if registered by the user
Information that can be read electronically (stored on the card)
- CampusCard ID (8 digits)
- Card serial number (17 digits)
- Library number (for registered users)
- Number for the so-called Electronic Wallet (“Elektronische Geldbörse”) of the Studentenwerk Oldenburg for cashless offline payments and, in case of using the Wallet function, the current credit amount
- the card type as personal identification number (here: 02 employees, needed for payment function at SWO acceptance points)
- the locker authorization (electronic key)
- separate number for electronic time tracking
- separate number for access control
- separate number for the copy / print / scan function.
The configuration of the data ensures that only information which is required for the function currently in use can be accessed. For more details, please refer to the information on data protection (German only).
Who will receive a CampusCard as staff ID card, how and when?
The CampusCard as staff ID card is issued to the following groups of people:
- university employees,
- trainees/apprentices,
- those participating in a voluntary academic year (FWJ) at UOL.
If you are a new hire, the staff ID card will be made available to you by the time you begin your employment and will usually be handed out to you in person upon signing your employment contract.
If you otherwise associated with the University, for example as an emeritus, an adjunct/visiting lecturer (“Lehrbeauftragte*r”) or a guest lecturer (“Gastdozent*in”), you will likely receive a CampusCard in 2022. In the interim, print cards ("Printkarten") and/or access passes (“Zutrittsausweise”) can be issued upon request.
When is the staff ID card valid?
Your staff ID card is valid from the first day to the last day of your employment at the University of Oldenburg. You will thus use the card for the entire duration of your contract. You do not need to validate or personalize the card separately before using it for the first time.
In case data re. your employment changes, e.g. the end of your contract, the information on your staff ID card's chip may have to be updated by a so-called "validation". You will receive a separate notice by e-mail to inform you of this. If necessary, please use the validation devices in the Haarentor cafeteria foyer or in the Wechloy foyer.
I have multiple employment relationships at the university. Will I receive multiple CampusCards?
You will receive only one personal staff ID card (“Dienstausweis”) and use it for these functions. For each additional employment contract and/or in case you need to use the multifunction printers across multiple financial and cost centres, you will be able to request a print card with Division 1.
What happens to the chip that I have so far been using?
Only in very rare circumstances will you still need your old chip card/chip. If this is not the case, you can hand in your chip card/chip at the Servicepoint in the Mensafoyer Haarentor or at the Servicepoint Wechloy.

What changes re. access authorisation when switching from chip to CampusCard?
Switching to the CampusCard is in progress. Check here to find out which buildings are already being accessed via CampusCard.
The access authorisation check as such remains the same, only the medium changes.
For doors with offline components, the access function on the CampusCard must be activated once every 24 hours. The corresponding activation devices are usually located next to the time tracking devices.
How do I best keep my staff ID card?
Please avoid all mechanical stress on the card!
Do not hole punch your CampusCard!
Please claim your protective cover and card fastener free of charge at the Campus Haarentor and Campus Wechloy service points(https://uol.de/dezernat4/servicepoint) - you only need to show your card.
Informations for auxiliaries
Is participation in electronic time recording mandatory or can I continue to record my times in an Excel spreadsheet?
With the introduction of the CampusCard as a staff ID card, student and academic assistants are also required to participate in the electronic time recording system.
How do I log into time recording?
To log in to time recording, please use the employee account you were assigned at the start of your employment.
I work at home on my private/university laptop, can I access the time recording portal only through the VPN tunnel? Do I need to install the VPN client?
For data protection reasons, time recording may only be accessed via the university network.

Do I have to distribute my working hours evenly over all days of the week? Do I have to set fixed working hours?
No. A 5-day week is automatically set up for you, but how you work and enter your hours is up to you.
Who is responsible for compliance with working hours and who checks them?
You are personally responsible for recording your agreed working hours completely and correctly.
Please note that you should add working hours/reasons for absence in good time before your departure date. After leaving, access to the time recording system is no longer possible.
Your supervisors are responsible for ensuring that all auxiliary staff perform the agreed work and that working time regulations are observed. They may ask auxiliary staff to present their monthly journals. In the event of an inspection by Customs, Division 1 administrators may provide printouts of the required monthly journals for Customs.
I have several (student) jobs at the university. Will I receive multiple CampusCards or printing cards?
You will only receive one CampusCard as your staff card. The CampusCard offers the following features:
In addition, you can use the following features:
- "Private" printing/copying/scanning (multifunction printer in the library)
- Payment function with the electronic purse at the Studentenwerk acceptance points as well as the library (fees/charges, print/copy jobs)
- Locking device for lockers
- Library card (optional)
If you have several jobs, you can use printing cards to account for the use of the multifunction printers in a differentiated manner via different financial and cost centers.
I have several (student) jobs at the university. How do I record my working hours?
You can enter your different times in the time recording system and make a note in the comments field which job these times relate to.
I sometimes work on Saturdays, can I put my hours in for Saturday as well? Do I need to apply for this?
Unlike employees in administration and technology, student and research assistants may record their working hours on Saturday without a special request.
I forgot to enter my working hours. How long do I have to catch up?
You have up to six weeks to enter your working hours. After this period, please contact
How do I enter my holiday hours into the time recording system?
Select the reason "Holidays" under "Reasons for absence" and enter the corresponding times. For the number of holiday hours available to you, see your employment contract. They cannot be displayed on the time recording screen. However, the holiday hours you take are evaluated and recorded in the holiday statistics overview.
I was ill. How do I enter the times in the time recording system?
Under "Reasons for absence", select "Illness" and enter the corresponding data.
My staff card/CampusCard has been stolen/lost. What do I need to do?
If your CampusCard has been stolen or lost, please block it immediately and then apply for a replacement card.
You can block your card and request a replacement in your Stud.IP profile. Select Profile > CampusCard.
The replacement card will be sent to your home address. In urgent cases, you can arrange to pick it up in person. In this case, please contact

My name has changed. What do I need to do?
If your name has changed, please notify your contact in Division 1 - Personnel/Organization immediately by email using the Change notificationform.
In order for your updated staff card to be created, your previous card must be blocked. The associated features will no longer be available to you until you receive a new staff card.
If you do not want the card to be blocked automatically, please tell Division 1 when you request the change. You will then be notified when the change is entered in SAP. You can then apply for a replacement card at your convenience via Stud.IP at Profile > CampusCard.

My address has changed. What do I need to do?

My staff card/campus card is defective. What do I need to do?
In case of a technical or mechanical defect, contact the service desk or IT support in the library first. A technical defect can be read out there and possibly repaired.
If there is no technical defect, please contact . If the card is defective, please request a replacement card.
How do I apply for a replacement card?
If your staff card is lost or defective, you can apply for a replacement card in Stud.IP under Profile > CampusCard. To do this, you must first block your staff card, also under Stud.IP.

My employment is ending soon but I expect to rejoin in a few weeks. What happens to my staff card in the meantime?
After the end of your employment period, your staff card/CampusCard will be disabled automatically. The staff card remains with you.
Once you have rejoined, you may reactivate your staff card at a validation device if you wish to use the cash card feature. All other functions will be reactivated automatically.
If your previous staff card is no longer available when you rejoin, you will receive a new one.

What happens to my staff card/campus card when my employment ends?
Upon termination of your employment, the functions of the staff card will no longer be available to you. You may no longer use the card.

Renewal, replacement, return
My CampusCard has been stolen or lost. What do I need to do?
If your CampusCard has been stolen or lost, please block it immediately and then apply for a replacement card.
You can block your card or request a replacement in your Stud.IP account under Profile > CampusCard.

If your name or title has changed, please notify Division 1 - Human Resources/Organization immediately using the Change Notification.

Personal staff ID card
The staff ID card identifies you as an employee of the University of Oldenburg.
Your photograph is not printed on the staff ID card.
Electronic time tracking
How does electronic time tracking work with the staff ID card?
For clocking in or out at the time tracking terminals, place your staff ID card in front of the reading field.

I have not previously used the electronic time tracking function but will do so in future. What do I do?
In case you already have a service ID card (Dienstausweis, but without the electronic time tracking function), your Dienstausweis must be coded once.
This is done on-site at Division 1.

Accessing buildings and rooms
How do I obtain access rights?
Electronic access is operated via Dienstausweis (staff ID card) or Zutrittsausweis (access pass), for certain areas you will still need a chip card.
Access rights are requested at Division 4 with the "Electronic access rights request form".

What happens to the chip that I have so far been using?

Access passes (Zutrittsausweise)
So-called "access passes" can be issued to external service providers and lecturers, for example. They replace the red chips. Access passes look similar to the other CampusCards at the University of Oldenburg but their function is limited to allowing electronic access.
Access passes can be requested at Division 4.

Copying, printing, scanning
How does copying/printing/scanning work with my staff ID card?
For job-related copying, printing, and scanning using your staff ID card multifunction printers are available across all university locations including the library. Billing is handled via the respective cost and fund center stored on the card. Starting from mid-September 2021, the multifunction printers will switch to being operated with the CampusCard. For more information, please consult the respective IT Services website (German only).
For private copying, printing and scanning, which is only possible in the library and is charged via the electronic wallet (“Geldbörsenfunktion”) of the CampusCard, you will find further information on the websites of the BIS.
You will need a print card if:
- You want to print across different cost/finance centers, e.g., in a third-party funded project,
- you do not have a staff ID card, e.g. as an external lecturer, but you still want to use the print, copy, scan function.
How can I debit different cost/fund centres for my print jobs?
If you have multiple employments at the university and/or need to charge print jobs to different cost/fund centres, you will need a print card ("Printkarte"). Please request this additional card via the "Application for a print card" at Division 1.
Print cards (Printkarten)
Print cards look similar to the other CampusCards at the University of Oldenburg but their function is limited to allowing job-related printing, copying and scanning. Print cards can also be used at the multifunction printers in the library.
Print cards are issued to
- Employees, if printing/copying is to be billed via cost and financial centers other than the one stored on the staff ID card,
- other persons not employed by the university, e.g. external lecturers, emeritus professors, hospital employees, who nevertheless need to be able to print/copy via university cost and financial centers at the request of a unit.
A separate print card must be used for each additional cost/finance centre.
Print cards can be requested at Division 1 via the "Application for a print card".

Paying with the CampusCard
Once you have topped up the electronic wallet (“Geldbörse”) on your staff ID card, you can use it to pay without cash, e.g. in the dining halls and cafeterias of the Studentenwerk. In addition, all fees and charges in the library are also paid by CampusCard.

How can I top up credit on my staff ID card?
It is possible to top up the electronic wallet on your staff ID card at all of the Studentenwerk Oldenburg's top-up machines, the so-called "Aufwerter" (also at the Jade Hochschule). In the Mensafoyer Haarentor and in the Foyer Wechloy it is currently possible to top up with cash and EC card. In the central library it is also possible to top up by Eurocheque card.
Topping-up is also possible at the cash desks of the cafeterias of the Studentenwerk, but not at the actual Mensa cash desks. The maximum top-up amount is 55 euros.
Cash payment is still possible at the acceptance points of the Studentenwerk.
In the library, cashless payments can now only be made via CampusCard.
How does payment with the staff ID card work?
You place your staff ID card in front of the reader of the Studentenwerk Oldenburg or the library for the duration of the payment process. The amount is then deducted contactlessly from the credit on your CampusCard’s chip.
You can make cashless payments with the CampusCard at all Studentenwerk acceptance points (e.g. in the dining halls and cafeterias). You will also still be able to pay cash there.
In the library, all payments - for fees and charges as well as for private copies and printouts - can only be settled with the CampusCard.
How do I know my electronic wallet's current balance?
The current balance of your electronic wallet is displayed at the cash desks of the Studentenwerk Oldenburg and at all CampusCard top-up machines.
How can I have credit paid out or remaining credit refunded?
Before you block your staff ID card or have it blocked, have your credit paid out, if possible. According to the Studentenwerk's General Terms of Use for the payment function of the CampusCard, the following applies:
- As long as your staff ID card is active (i.e., not blocked), you can have your balance paid out in cash at any time at a Studentenwerk cafeteria cashier by presenting your card.
- If your staff ID card is blocked, you may request a refund of remaining credit from the Studentenwerk Oldenburg. The relevant form will be provided here shortly. Refunds are currently made by bank transfer.
- As a rule, you are only entitled to a refund of your remaining electronic wallet balance at the Studentenwerk Oldenburg if are able to present your card.
- If your staff ID card has been stolen or lost, the Studentenwerk will generally not refund any remaining balance.

Lockers and wardrobes
How do I use the CampusCard for the lockers on campus?
For this function, the staff ID card must be activated once at the device that displays the status of occupancy. These display devices are found directly at the locker locations. Once activated, the CampusCard can be used for lockers at all university locations.
Any overnight use of the lockers is prohibited. That is why lockers will usually lock automatically at the end of building opening hours. On the following business day, the staff on site will be able to unlock the lockers again for a fee of 5 euros.

Will my staff ID card and my existing library card be merged?
The functions of the library card can be transferred to your staff ID card if you wish. Please see the Library and Information System (BIS) web pages for details.
