Data protection notice for registration for the 10th Conference on Student Research

In the following, we would like to inform you about how your personal data will be processed when you register for the event. Please read the following information carefully.

I. Contact details of the controller and the data protection officer

The University of Oldenburg, a public corporation, legally represented by the President, Ammerländer Heerstraße 114 - 118, 26129 Oldenburg, Germany, is responsible for data protection.

II. Data collected

We collect last name, first name, email address and, if applicable, institutional affiliation and status electronically. The personal data is not linked to social media applications. No further analyses of the data take place. The data is currently stored and processed using the "Microsoft Office" software package and in a TYPO3 tool on a secure network drive at the university.

III. Purposes and legal basis of data processing

The purpose of data collection is the organisation of the event offered and, if necessary, the sending of the programme schedule, access links, the creation and sending of confirmations of participation and the settlement of the event with funding bodies or co-financing cooperation partners.

The processing of your personal data is based on the following legal basis:

  • Art. 6 para. 1 lit. e GDPR i.V.m. § 3 NDSG in the context of our task fulfilment.

Mandatory information is required for submission. Registration for the event cannot be completed without mandatory information.

IV. Recipients of the personal data

If necessary, the data collected will be transmitted to the respective funding organisation or co-financing cooperation partner for billing purposes. Beyond this, your personal data will not be passed on to unauthorised third parties.

 

V. Transfer of personal data to a third country

There are no plans to transfer your personal data to a third country or an international organisation.

VI. Duration of storage or retention of personal data

The data will be stored electronically in list form for a maximum of 6 months after the event and then irretrievably deleted. Lists of participants in paper form are stored for the purposes of event documentation and settlement in accordance with the retention periods stipulated by law, in relation to business correspondence after six years and in relation to invoicing after ten years.

VII. Rights as a data subject

As a data subject within the meaning of the GDPR, you have the following rights

  • Right of access (Art. 15 GDPR)
  • Right to rectification (Art. 16 GDPR)
  • Right to erasure (Art. 17 GDPR)
  • Right to restriction of processing (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)
  • Right to object (Art. 21 GDPR)

To exercise these rights, please contact the data controller (see above).

VIII. Right to lodge a complaint with a supervisory authority

If you are of the opinion that the processing of your personal data violates data protection regulations, please contact the data protection officer of the controller (see above). Irrespective of this, you have the right to lodge a complaint with a supervisory authority. The supervisory authority responsible for Carl von Ossietzky University is: The State Commissioner for Data Protection in Lower Saxony, Prinzenstraße 5, 30159 Hanover.
