Services

Postal services – internal and external letters and parcels up to a maximum of 31.5 kg

The Central Mail Office is the first point of contact for all postal traffic. In addition to receiving external post, our core tasks include the distribution and delivery of all incoming letters and parcels to the university’s organisational postboxes, as well as the professional processing and dispatch of outgoing post.

Our standard services include:

  • Letters, postcards

  • Parcel consignments
  • Items with additional services:
    • Registered post

Important information regarding standard post, express delivery and delivery to non-EU countries

Guidance on addressing letters
Address formatting for overseas correspondence
Guidance on handling incoming post

Express delivery:
For express delivery, it is essential that the recipient can be contacted by telephone, mobile phone or email. Express consignments must be received in full by us by 11:00 am from Monday to Thursday and by 09:00 am on Friday.

Shipments to non-EU countries
Shipments to non-EU countries are subject to customs clearance. To prepare the necessary customs documentation (CN 23 and pro forma invoices), we generally require a detailed list of the parcel’s contents, itemised with the corresponding values of the goods. Shipments cannot be dispatched without the required information.

Courier services and specialised courier services

Our university’s research areas and facilities cover a wide range of activities and disciplines. Due to this diversity, not all the services required can be met by Deutsche Post’s standard range of services. In such cases, we would like to try to meet your requirements using our in-house services. Please contact us directly so that we can work out a solution with you.

Setting up/closing an organisational mailbox

Organisational postboxes have been set up on the university campus to facilitate the exchange of post. Please contact us if you need to set up or close an organisational postbox, or if you are due to change premises or relocate.

Please note that only one organisational postbox is available per organisational unit. Exceptions include, amongst others, large geographical distances, such as between the Haarentor and Wechloy campuses.

Personal Protective Equipment (PPE) maintenance service

You have placed an order for your personal protective equipment. We collect the garments that have been set out for collection once a week. We will email you details of the collection.

Centralised fleet management

  • The Central Fleet Management Department is responsible for the university’s own vehicles (cars, trailers, central service bicycles) and car-sharing. In accordance with state and university guidelines, we are happy to assist you with enquiries regarding driving authorisations, car-sharing, vehicle decommissioning, replacements or new purchases, bicycle loan procedures and much more.
