Introduction of SAP S/4HANA

The university is modernising its central SAP system. To do this, IT services are converting the previous system to the successor product SAP S/4HANA. The switch is necessary because SAP is discontinuing maintenance for older systems. The changeover is part of the strategic development of digital administrative and financial processes at the university. The new system is scheduled to go live on 1 January 2028.

Runtime

Start: 04.2026
End: 03.2028

Project organisation

The project organisation is divided into different units. The project steering committee is responsible for the strategic management of the entire project. The project leader is responsible for the overall operational coordination. Several specialist sub-projects (e.g. Financials, HCM, Logistics) are organised under this, which ensure implementation in their areas.

All areas are supported by central cross-sectional functions such as authorisations, development, quality and test management as well as cut-over management. These ensure standardised implementation and high quality throughout the end of project.

Project participants:

  • Presidential Board (client)
  • Divisions 1, 2 and 4
  • IT services
  • Data Protection and Information Security Unit
  • Staff Council
  • BTC AG

Roadmap

The roadmap provides an overview of the most important phases of the project.

The project management phase (phase 0) accompanies the project throughout its entire duration and includes planning, control, risk management and reporting.

In technical terms, the project starts with the conception and preparation phase (phase 1), followed by the implementation and test phase (phase 2) with system setup, customising and testing. This is followed by the rollout with go-live (phase 3) and the hypercare phase (phase 4) for stabilisation.
