Data protection information of the University of Oldenburg on media production (podcasts) in the BIS

This data protection information describes the processing of personal data when using BIS media production (podcasts) at the University of Oldenburg.

With this data protection information, the University of Oldenburg fulfils its obligation to provide information in accordance with Article 13 of the EU General Data Protection Regulation (GDPR). With regard to the terms used below, e.g. "personal data", "processing", "controller", etc., please refer to the definitions in Article 4 of the GDPR.

2. Type and scope of personal data

We process the following personal data as part of media production (podcast)

• Name and contact details (email address, telephone number) of persons involved in the production
• Image and sound recordings of people who appear in the podcasts
• Voices and statements of people interviewed in the podcasts
• Biographical data and information about the academic or professional appointments of people who appear in the podcasts

3. Purpose and duration of processing

The personal data is processed for the following purposes

• Provision of a media production infrastructure for the people involved in the podcast
• Organisation and creation of the script and recording of the respective podcasts or the respective podcast episode
• Publication for the individual podcast episodes and the podcast in general via the distribution channels specified in the declaration of consent
• Creation of anonymous statistics to improve reach, if desired

Experimental productions: The data will be stored for the duration of the production and for a period of 2 years after completion of the production.

Examination services: Data is stored for the duration of the examination performance and for a period of 3 years after completion of the examination performance.

Elaborated productions: Data is stored for the duration of publication. The productions are catalogued, made available in our ORBISplus search portal and permanently archived.

4. Legal basis

The legal basis for the processing of personal data is the consent of the persons involved (Art. 6 para. 1 lit. a GDPR). Insofar as the audio recordings contain specially protected categories of data within the meaning of Art. 9 GDPR (e.g. health data, political opinions, religious or ideological beliefs, trade union membership, ethnic origin, information on sex life or sexual orientation), the legal basis is also explicit consent (Art. 9 para. 2 lit. a GDPR).

5. Recipients of the personal data

The personal data is transmitted to the following recipients

• Processor of the university (e.g. hosting provider, IT service provider), this is Podigee GmbH, Revaler Str. 28, 10245 Berlin. The University of Oldenburg has concluded an agreement with Podigee GmbH for order processing in accordance with Art. 28 GDPR.
• Public (in the context of the publication of the podcasts)

6. Transfer to third countries

Personal data will not be transferred to third countries. However, it is possible that third parties in third countries may have access to the personal data in the podcast or podcast episode as part of a publication.

7. Rights according to GDPR

Your rights as a data subject: You have various rights under the GDPR. You can obtain information about the personal data stored about you at any time at the contact addresses provided (Art. 15 GDPR). In addition, under certain conditions, you can request the rectification of incorrect data (Art. 16 GDPR), erasure (Art. 17 GDPR) or restriction of processing (Art. 18 GDPR) of your data.

Revocation of consent: If you have given your consent to the processing, you can withdraw this consent at any time with effect for the future (Art. 7 GDPR). The lawfulness of the processing until the revocation remains unaffected.

You also have the right to data portability (Art. 20 GDPR), provided that the legal requirements for this are met (i.e. in the case of processing based on consent or contract and by means of automated procedures).

Right to lodge a complaint: If you believe that the processing of your data violates data protection law, you can contact our data protection officer (see above for contact details) with your concerns. Irrespective of this, you have the right to lodge a complaint with the competent data protection supervisory authority (Art. 77 GDPR).
