Application procedure

There are two types of proposals for the use of data and biomaterials from clinical care.

Local application for use: Proposal by a member of School VI to use UMO data and biomaterials from clinical routine for research purposes that are available in the local MeDIC-UMO or the School's own sample collection.

National application for use: Proposal by an external party for the use of data or biomaterials available in the local MeDIC-UMO or the faculty's own sample collection. Researchers can submit a proposal via the German Research Data Portal Health (FDPG). Note: The portal and the national application procedure are also available to all UMO researchers to submit utilisation requests to other locations at the end of projects.

The UAC assesses both the national utilisation applications submitted to the site via the FDPG by external parties and the local utilisation applications.

Application procedure for a local utilisation application:

1. an early feasibility check and consultation with the MeDIC-UMO is recommended for an optimal data application and provision process flow.

3. send the required documents by email to the UAC office, including the application form, the data specification and an existing ethics vote.

The application form usually contains information on the project title, user, utilisation period, recipient of the data, project partner, project objectives, scientific rationale and project description, available resources, specification of patient cohorts, justification of feasibility, expected results, handling of unexpected results.

Templates can be found under Downloads.

4 In contrast to the procedure for national proposals, local proposals do not require a separate data utilisation agreement. However, written acceptance of the MeDIC-UMO utilisation regulations is required.

5. data extraction starts after a positive UAC vote.
