Tips for preparation

What is the best way to approach the project?

Firstly, you should think about your target group. Who do you want to reach? What message do you want to convey? This will result in a concept that sets out the length, design and possible ways of playing the video. We will be happy to support you in creating the concept. Please contact and our colleagues in Media Production as soon as possible

How long should the film be?

The length of the film depends on the content and purpose of the film. The general rule is: as short as possible, as long as necessary. In general, however, the film should not be too long in order to maintain the audience's interest. 3-5 minutes is usually a good length.

Who will appear, who will say what?

Depending on the length and concept of the film, several protagonists may appear. They should advance the content of the film and be available for an interview on the day of shooting.

Do you need licences for certain areas?

If the shoot takes place in off-campus locations, involves drone footage or non-university personnel, permits and consent forms may be required. All necessary approvals and permissions should be obtained before filming begins to avoid legal issues. For filming on campus, please send a short info mail to redaktion@uni-oldenburg.de. For questions about drone filming, etc., please contact daniel.cloeren@uni-oldenburg.de.

External productions can obtain a filming permit for the campus from the Press and Communication Office,

Notes on advertising and sponsorship

At the University of Oldenburg, the principle of freedom from advertising applies as far as possible. Therefore, advertising in university videos should be avoided, both in images and in statements. Please observe this principle when selecting motifs, interview partners and interview excerpts. Exceptions are only possible in special cases; please contact the Press and Communication Office, redaktion@uni-oldenburg.de, for clarification.

Have all parties involved given their consent?

To ensure that personal data is protected in the film, all participants must sign a declaration of consent in order to appear in the film. Corresponding templates and notices for events can be obtained from the Press and Communication department. Please contact silke.rudolph@uni-oldenburg.de for this purpose.

Production processes

What needs to be considered during filming?

You need good pictures to make a good film. Think about where the film can be shot at an early stage. Which locations, which scenes best illustrate the message? Are there pictures, photos, graphics that can be used to better convey the content? Interviews should take place in locations that are not too busy and where there is enough depth in the image to achieve a high-quality visual language. You should discuss your ideas with the media technology department at an early stage. Contact:

How much time do you need to prepare the equipment?

Preparing the equipment takes time to ensure that everything works properly. Plan enough time with the camera team before the start of filming to avoid delays during production.

Can passages in the interview be repeated if they don't work?

Yes, it is possible to re-record passages in the interview if they do not work as desired. However, this should be avoided for reasons of time and cost.

How important is music in film?

Music can support the message of the film. In interviews or reports, it can sometimes be distracting. The media designers have a good feeling for the appropriate use of music.

Can I also record a text?

The previous style of films published on the university's YouTube channel did not normally use text recorded afterwards. The effort required for this is relatively high and it is often nicer if content is only conveyed via the statements, the so-called original sounds of the participants. If you think it is still necessary, please contact us.

Are costs incurred during production?

There are usually no costs for the pure recording by the media technology team, apart from consumables such as memory cards or batteries. However, post-production costs may arise due to the use of music licences. The use of a song usually costs between €20 and €100. These costs are usually settled via your own cost centre.

Publication

Where can the film be published in a university context?

The film can be published on central university channels, especially YouTube, as well as on the website under certain conditions. For Instagram, Facebook and LinkedIn, the film must be converted or recut, as the requirements of the channels differ greatly.

I would like to publish the film on the University of Oldenburg's YouTube page. What do I need to bear in mind?

We are happy to publish films from the university that meet a certain standard. There are a few requirements, including bilingual titles, subtitles and a short bilingual accompanying text to ensure accessibility. This preparatory work would have to be done by you. If all content is provided and other quality standards are also met, Press and Communication will be happy to play the clip on the YouTube channel. If the scope is very large and several films are to be uploaded, please discuss this with Press and Communication beforehand. For more detailed information, please contact at an early stage, preferably when the concept is being developed. We can then quickly clarify the extent to which resources are available for this.

Do I have to use the university's corporate design and where can I get it?

The Media Technology and Production department already has all the templates for thumbnails, belly bands, logos and credits. If you have any further questions, please contact your colleagues in Media Production. For externally produced films, you can obtain CD-compliant templates from the Press and Communication department, contact: silke.rudolph@uni-oldenburg.de.

Can I change anything in the film later?

As part of a resource-saving collaboration, the aim should be to check the entire video for content errors, including accompanying text, thumbnails and subtitles, before publication. Recutting means not only additional work for the media technology and subsequent coordination processes, but also re-uploading to YouTube and repeating all the work steps. This is only possible in exceptional cases.
