Show publication list on a website

Steps for embedding in a website:

Create a new content element of the type "Bibtex". This can be found in the "Plug-ins" tab.
The "Bibtex" type is now already preselected in the "Plug-in" tab of the new content element.
Enter the *.bib file to be used in the "URL" field or, if it is an external file, add the http address of the *.bib file.
Save - done.

If desired, you can make further settings:

Sort the displayed entries (by publication or year).
Filter by publication type
- Show all (no filtering)
- Show only selected: Assumes that certain publication types have been selected in the field below. Only the selected ones are then displayed.
- Show all except selected: Assumes that certain publication types are selected in the field below. The selected ones are then omitted.

Update: Download, edit and redeploy

Since .bib files have a special format, they cannot be edited directly in TYPO3. If you want to update such a publication list, three steps are therefore necessary:

1. download existing .bib file from TYPO3

This step is only necessary if you do not already have the current .bib file on your local computer. In this case, you can download the file from TYPO3.

In the file list , click on the three-dot menu next to the .bib file and then on "Download" in the context menu.

2. edit the file with suitable reference management software

The .bib file can be edited using appropriate software. JabRef, Citavi or Endnote, for example, are suitable reference management programmes:

JabRef is a free programme that can be downloaded for Windows, MacOS and Linux.

Citavi can be installed on computers supplied by the university's IT services and integrated into the Windows domain via the Novell Zenworks application.
Citavi can also be installed on your own computer; a central licence is available for students and employees. For further information and download see here:

CitaviWeb: The online version of Citavi can be used in the browser without having to install any software. To do this, set up a Citavi login using your university email address:

Endnote is also available free of charge for university members. The interface of the programme is in English.

TYPO3: Yes, bib files can also be edited directly in TYPO3! However, you will then only see the technical structure of the file, i.e. editing is not carried out using a convenient input mask as in a reference management programme, but you can see the structure code of the bib file directly. As the file can become unusable if incorrect entries are made, this is certainly not a recommended method for most people!
However, if you know exactly what you are doing (at your own risk):
In the file list, you can click on the file icon of a bib file. The entry "Edit content" then appears at the top of the context menu.

3. upload the updated .bib file to TYPO3 again

The updated .bib file can now be uploaded to TYPO3. It is important to replace the existing file:

Click on the three-dot button next to the *.bib file in the file list and then on"Replace" in the context menu. A small window will then open.
Tick the box"Keep current file name".
Use"Browse" to select the revised file on your computer and upload it.

In this way, the original file will be replaced by the new one with an identical file name - this is important so that it can still be found by the BibTeX module on the website.

Possible errors in *.bib files

A green indicator shows that everything is OK.

The *.bib file used must have a valid format for the HTML conversion to function correctly for the website display. Deviations from this format can lead to an incorrect display.

You can see how the fields in the bib file are technically defined by clicking on the bibtex link of the publication in the public display and thereby making the entry visible.

Examples:

Incorrect entry in the name field for several authors:
- incorrect: Max Mustermann, Fredi Ferenczi
- correct: Mustermann, Max and Ferenczi, Fredi
- correct: Max Mustermann and Fredi Ferenczi

Year of publications: To enable chronological sorting of the list, the year field(year of publication) must be specified for most publications. It is not sufficient if, for example, a date field is present instead.

No own inventions should be used for the publication types. This is because there is no formatting definition for these, which can lead to an undesirable display.

Were errors found?
TYPO3 automatically informs the BibTeX elements in the relevant web pages internally whether possible problems have been found in the integrated *.bib file (see image).
